Hospital patient transportation

Hospital patient transportation software that cuts discharge delays

VectorCare is hospital patient transportation software — the coordination layer that lets health systems request, dispatch, and track non-emergency transport (plus home health and DME) from inside the EHR. It is not a broker, not an ambulance company, and not an EHR. Used by 2,500+ facilities; scheduling that took ~31 minutes drops under 3.

What it is

Patient transportation software for hospitals — not a broker

Every day a hospital makes hundreds of decisions that require someone outside the building to do something: pick this patient up at 2pm, deliver oxygen before discharge, start home health tomorrow. Historically each of those decisions turned into a phone tree. A case manager calls three ambulance companies, waits for callbacks, faxes a PCS form, then calls the floor to say the ride is at four.

Hospital patient transportation software collapses that sequence into one request. On VectorCare the request is built from the patient's record, broadcast to a credentialed network, accepted by the best available provider, and tracked to completion — with status visible to the care team the whole time.

  • A coordination layer

Staff request, dispatch, and track non-emergency transport — plus home health and DME — from a single system embedded in the EHR.

  • Not a broker

The hospital contracts directly with providers. Every request is broadcast transparently. VectorCare does not take the trip and subcontract it through a closed network.

  • Not a CAD or an EHR

VectorCare is not an ambulance company and not an EHR. It sits between the chart and the vendor network, and it connects to provider CAD systems for live status.

Discharge delays

The last few hours of a stay are where beds get stuck

For a 250-bed hospital with 25 daily transports, uncoordinated discharge logistics consume an average of 2.3 bed-days per patient. Closing that gap is worth over $500,000 a year in bed and labor costs; hospitals under 250 beds have documented $247K in bed-throughput savings.

How it works

From the chart to wheels rolling — without the phone tree

1

Request from inside the EHR

Through VectorCare's SMART on FHIR app, staff launch a request from the patient chart in Epic. Demographics, level of service, pickup, and destination pre-populate; PCS forms are signed electronically. No second login, no re-keying.

2

Broadcast, don't phone

A.D.I. sends the request to every contracted provider credentialed for that service level and zone. Providers respond with ETA and price; your rules pick the winner. Scheduling that took roughly 31 minutes by phone takes under 3 minutes.

3

Track status in real time

Status updates flow back from the provider's CAD through VectorCare Connect, so the floor sees “en route” and an ETA without calling dispatch. Care teams message inside the request.

4

Pay and measure

VectorCare Pay invoices against verified delivery. Insights gives operations leaders the volume, response-time, and vendor data they need to run the network.

Frequently asked questions

  • Hospital patient transportation software is the coordination layer that lets health systems request, dispatch, and track non-emergency transport — plus home health and DME — from inside the EHR. VectorCare is that software. It does not own vehicles, operate an ambulance company, or replace the EHR.
  • No. Brokers take a contract and subcontract trips through a closed network. VectorCare is a platform: the hospital contracts directly with providers, every request is broadcast transparently, and every trip is visible end to end. Brokers can participate as providers on the platform.
  • Each discharge need becomes a single tracked request that is automatically broadcast to credentialed providers, accepted in minutes, and visible to the care team in real time — instead of a sequence of phone calls, callbacks, and faxes. Scheduling that took about 31 minutes by phone completes in under 3.
  • Yes. VectorCare offers a SMART on FHIR app listed on Epic's Connection Hub and works with other EHRs that support the SMART on FHIR standard. Requests launch from the patient chart.
  • Most customers are live within weeks. VectorCare handles workflow configuration, vendor onboarding, and EHR connection end to end.
